This Privacy Policy explains what information we collect when you visit our website, make an enquiry, book a stay, purchase one of our extras, sign up for our newsletter or otherwise interact with Hall Farm, and how we use and protect that information.
We’re a small family-run business, so we don’t collect information for the sake of it. We use your information to provide your stay, communicate with you, process payments and orders, improve our website and, where you’ve chosen to hear from us, send occasional Hall Farm news and offers.

Newsletter subscribers
If you choose to sign up to our Hall Farm newsletter, we collect your name and email address.
We use Mailchimp to manage our mailing list and send newsletters.
Our newsletter is intended for people who have actively chosen to hear from us and may include occasional Hall Farm news, seasonal updates, information about the farm and countryside, new developments and special offers.
You can unsubscribe at any time using the unsubscribe link included in our emails.
We do not add guests to our newsletter simply because they have stayed with us. Newsletter marketing is separate from your booking.
Why do we use your information?
We use personal information for the following purposes:
To manage your booking
We need to use your information to process and administer your reservation, communicate with you about your stay and provide the accommodation and services you’ve booked.
Our lawful basis for this is generally performance of a contract.
To process payments and orders
We use your information to process payments, bookings and purchases made through our website.
Our lawful basis is generally performance of a contract and, where applicable, compliance with legal obligations.
To communicate with you about your stay
We may contact you before, during or after your stay with information that is relevant to your booking — for example, arrival instructions, access information, check-in details or information about an order you’ve made.
This is part of providing the service you’ve booked.
To respond to enquiries
If you contact us with a question, we use your information to respond to you and manage your enquiry.
To request reviews
After your stay, we may contact you to ask whether you’d be willing to leave a review of your experience on platforms such as Google or Tripadvisor.
We use your contact details for this purpose because we have a legitimate interest in understanding guest experiences and improving our business and reputation.
You do not have to leave a review, and you can ask us not to contact you with review requests.
To send newsletters and offers
We only send our Hall Farm newsletter to people who have opted in to receive it, or where another lawful basis for marketing applies.
Where we rely on consent, you can withdraw that consent at any time by using the unsubscribe link in our emails.
Electronic marketing to individuals is subject to the Privacy and Electronic Communications Regulations (PECR), including requirements around consent and opt-outs.
To meet our legal obligations
We may need to retain and use certain information to comply with tax, accounting, legal, insurance, regulatory and other obligations.
To keep Hall Farm safe and secure
We operate CCTV around certain external areas of Hall Farm for security and safety purposes.
CCTV is not used inside guest accommodation or in private garden areas.
Our lawful bases for using your information
UK data protection law requires us to have a lawful basis for processing personal information.
Depending on what we’re doing, these may include:

Where we need your information to provide the accommodation, products or services you’ve booked.
Legal obligation
Where we’re required to keep or provide information by law, such as accounting or tax requirements.
Legitimate interests
Where we have a genuine and reasonable business need to use information, provided this doesn’t unfairly override your privacy rights. This may include responding to enquiries, managing our business, requesting guest reviews and maintaining the security of Hall Farm.
Consent
Where you’ve actively chosen to give us permission to use your information for a particular purpose, such as subscribing to our newsletter.
Where we rely on consent, you can withdraw it at any time.
Who do we share your information with?
We don’t sell your personal information.
We may share relevant information with trusted service providers where this is necessary to run Hall Farm and provide your booking or services.
These may include:

Mailchimp, where you have subscribed to our newsletter
Payment service providers involved in processing your transaction
Website, hosting, IT and security providers
Professional advisers, insurers or legal representatives where necessary
Government, regulatory or law-enforcement bodies where we’re legally required to do so
We only provide information that is reasonably necessary for the relevant purpose.
Some of our service providers may process information outside the UK. Where this happens, we take appropriate steps to ensure that your information receives an appropriate level of protection in accordance with applicable data protection law.
Booking through Airbnb or other platforms
If you book a Hall Farm property through Airbnb or another third-party booking platform, that platform will also collect and process your personal information under its own privacy policy.
We receive the information necessary to manage your booking and provide your stay.
Your relationship with the third-party booking platform is also subject to its own terms and privacy arrangements.
How long do we keep your information?
We don’t keep personal information indefinitely.
We retain information for as long as we reasonably need it for the purpose for which it was collected, including to provide services, deal with enquiries, manage bookings, resolve disputes, maintain business records and meet our legal and accounting obligations.
Different information may therefore be retained for different periods.
For example:
Booking and financial records
We retain these for the periods required for tax, accounting and legal purposes.
Guest communications and enquiries
We retain these for as long as reasonably necessary to manage the enquiry, booking or any subsequent issue.
Newsletter information
We retain your details while you remain subscribed. If you unsubscribe, we will stop sending marketing communications and retain only the information necessary to ensure we respect your unsubscribe request.
CCTV
CCTV recordings are retained for 30 days, unless a recording needs to be retained for longer because of an incident, investigation or legal requirement.
